Service Terms

These Service Terms outline the agreement between you (“the rider”) and Brightwheel Brighton (“the provider”) when hiring an electric bicycle. By proceeding with a booking, you confirm that you have read, understood, and accepted these terms. They are governed by the laws of England and Wales.

1. Booking and Confirmation

All bookings can be made online, by email, or in person. Confirmation is considered valid when you receive written or electronic notice from us. We reserve the right to adjust availability depending on weather, maintenance schedules, or local events affecting route safety.

2. Payment

Prices are displayed on our website and may vary seasonally. Payment is processed securely via trusted gateways. We do not store card numbers or bank details. Receipts are provided electronically. Any deposit, where applicable, is refundable after the bike is returned in the same condition, allowing for normal wear.

3. Collection and Return

Bikes are collected from and returned to our base at 22 Trafalgar Street, Brighton BN1 4EQ. Please arrive on time for your chosen slot to allow checks and adjustments. Late returns may incur an additional hourly fee to cover staff and cleaning time. If you experience delays, notify us as soon as possible.

4. Usage Conditions

  • Riders must be at least 16 years old for pedal-assist e-bikes.
  • All bikes are intended for personal, recreational, or commuter use within Brighton & Hove boundaries unless agreed otherwise.
  • Do not modify or tamper with any mechanical or electrical part.
  • Follow local traffic regulations, shared path etiquette, and UK Highway Code rules.

5. Safety

Each bike is inspected before handover. Helmets and reflective gear are available upon request. Riders are responsible for their own safety during use. Weather and surface conditions may vary; exercise caution and adjust your route if needed.

6. Damage or Loss

Normal wear and small cosmetic marks are expected. However, in cases of theft, major damage, or misuse, you may be liable for repair or replacement costs. Always lock the bike when unattended and keep battery keys safe. If an incident occurs, report it immediately.

7. Cancellations and Refunds

Cancellations made at least 24 hours before the start time are fully refundable. Later cancellations may incur partial charges to cover preparation costs. Refunds are processed within 5 working days.

8. Liability

Brightwheel Brighton is not liable for personal injury or property damage arising from unsafe or unlawful use of the e-bike. We maintain appropriate public liability insurance but expect riders to take reasonable personal care and follow guidance provided at collection.

9. Data and Privacy

Your data is processed according to our Data & Privacy Policy. We handle personal details solely to manage your booking and ensure compliance with local regulations.

10. Force Majeure

We are not responsible for delays or cancellations caused by events beyond our control, including extreme weather, public safety restrictions, or technical outages.

11. Disputes

Any disputes should first be addressed informally by contacting us. If unresolved, they may be escalated to local consumer advisory bodies or small claims court under English jurisdiction.
